Documents arrive without the chasing. One checklist per client, every season.

Each client gets one checklist, a secure place to upload and reminders that go out on their own. Your team sees who still owes what, and chases only the exceptions.

Reminders sent on schedule

One list per client

Reminders stop the moment a document arrives, so nobody gets chased for something they already sent.

No more chasing emails

What we usually hear

What firms usually tell us before tax season, and what we change first

“We chase the same clients for documents every year.”

One checklist per client, built from last year and sent before the season starts.

“Reminder emails are written by hand.”

Reminders on the dates you choose, stopping as soon as the document arrives.

“Documents arrive as email attachments.”

Secure uploads from a phone or laptop, stored where the public cannot open them.

“Nobody knows who still owes what.”

One view of every client and every open item, for the whole team.

“We pay for TaxDome but use half of it.”

If you want to keep the tool you have, we look at it first and set up checklists and reminders where it allows.

What you get

Six things it does, built and run by the same engineers

01

One checklist per client

Built from last year or from a template per client type: what is needed, by when, and what has already arrived.

02

Secure uploads

Clients upload from a phone or a laptop through their own link. Files are stored where the public cannot open them.

03

Reminders that go out on their own

Polite reminders on the dates you choose. They stop as soon as the document arrives.

04

Who owes what, at a glance

One view of every client and every open item, so your team chases only the exceptions.

05

Works with the tools you have

Connected to your practice software where it allows. Already on TaxDome or Karbon and want it set up there? We check what your account allows first.

06

Kept patched and watched

Updates tested on a copy first, monitoring, backups we have restored, and access removed when staff leave.

Who it is for

For firms that chase the same documents every season

A good fit

Chasing documents takes weeks every season.

Every reminder written by hand and every attachment in an inbox costs hours your team needs for the work itself.

  • You prepare returns or year-end accounts for many clients at once.
  • Chasing documents takes real hours every season.
  • You want each client to see only their own list, with uploads stored safely.
Tax advisers · Accountants · Bookkeepers · Law firms

Not a fit yet

A few clients you see in person?

A shared folder and a phone call are enough, and we will say so.

Come back when the client list grows.

Want to replace your practice software?

We do not build practice management software, and you do not need new software for this.

Keep it. The checklists work alongside it.

How it gets set up

Your document lists first, then the tool

  1. Step 01

    Map your document lists

Your client types, the documents each one needs and your deadlines, written down with your team before anything is built.

  2. Step 02

Build it or set it up

Checklists, uploads and reminders on a test copy, or set up inside the tool you already have. A few trusted clients try it first.

  3. Step 03

    Connect your systems

Clients and deadlines come from your practice software where it allows, so nobody types them twice.

  4. Step 04

    Run it every season

Lists updated for the new tax year, reminders checked, and the same engineers every month.

Client data & contracts

Where client documents are kept, and under which contract

  1. 01

    In writing

We sign our DPA as your processor

Your firm stays the controller of client data. Our Data Processing Agreement covers GDPR and KVKK, and you can read it before we meet: reactll.com/legal/dpa.

  2. 02

Client data stays in the EU

By default it is stored on our server in Frankfurt, Germany. Backups sit on the same server and are deleted after 30 days.

  3. 03

    An NDA before any access

We sign it before we see your systems or files. Access is personal, never a shared login, and removed when it is no longer needed.

  4. 04

KVKK covered for firms in Türkiye

We sign the KVKK standard contract on request, at no cost. The agreement is in Turkish too: reactll.com/legal/dpa?lang=tr.

  5. 05

    You contract with Reaktör Teknoloji

Reaktör Teknoloji Tic. Ltd. Şti., Istanbul, trading as Reactll. Every service provider that can touch client data is listed in the DPA, with where it is based.

FAQ

Questions firms ask before the next tax season

Maybe not. Often the tool is there, but the checklists and reminders were never set up. If you ask, we look at your account first and tell you whether setting it up there is the better way.
Yes. They open their link, see their own list and upload a photo or a PDF. There is no app to install.
Before it shows any page or file, the server checks who is asking. We test it with a second client account before launch and after every change.
By default in the EU, on our server in Frankfurt, closed to the public. If we set the checklists up inside TaxDome or Karbon instead, files stay where that tool keeps them. Before any access, we sign an NDA and our Data Processing Agreement as your processor. For firms in Türkiye we sign the KVKK standard contract on request; the agreement is in Turkish too. You contract with Reaktör Teknoloji Tic. Ltd. Şti.
Two to three months before your busy season. That leaves time to build, test with a few clients and send the first requests without a rush.
Yes. Status updates, invoices and messages can follow as a second phase, on the same base.
